Project Management Using Clarity

With access to Clarity you can create simple project plans for the collaboration and tracking of key tasks and milestones, or detailed plans for capturing all of the information in a complex project. Plans can also include key tasks, WBS hierarchies, estimates, dependencies and deliverables, and staff assignments. Clarity also enables the creation of project templates to establish repeatability and speed up project creation. The templates leverage the extensive workflow capabilities of Clarity enforcing the execution of all the underlying milestones to complete the project. Clarity also records time and resource usage for each project. Once a timesheet is submitted through workflow management, managers with time-approval rights can review it for accuracy and completeness before approval is granted. Clarity also makes it easy to schedule key tasks and milestones and manage project and resource calendars – all within a web-native environment.

Clarity’s program and portfolio management can be used to effectively manage programs. When you need to manage large programs with a related series of projects, Clarity provides top-down budgeting and forecasting, as well as bottom-up risk, status, cost and schedule reporting for subprojects. For the program manager, it is crucial to gain visibility across multiple linked projects in order to see the full impact that one change can make to an entire program — from budget to project progress.

Clarity Enterprise Visibility Option User Account

An Enterprise Visibility Option User Account can view any information within Clarity. It also can be used to submit, track and update ideas, but may not otherwise input or modify information.

Clarity Team Member User Account

A Team Member User Account has specified limited use of functionality within licensed modules, e.g., reporting time and project status, using discussions and documents, and viewing data and running reports within Clarity.

Clarity Manager User Account
A Manager User Account has full use of all licensed modules within Clarity.

All stages of the project are then integrated together into a comprehensive plan. Project Installation Planning
Activities Description
Hold Kick-Off Meeting with Customer ISD PMO will hold a kick-off meeting, managed by an approved project manager experienced in project management methodology and best practices, who will be dedicated to your implementation, ensuring your project is executed to the project plan.
Develop Project Plan ISD PMO will develop and distribute a project plan, incorporating the team roster, risk management plan, communication plan, change management plan, project schedule, and solution configuration report.
Assign Project Team Responsibilities ISD PMO will use its experience and project management expertise to identify potential risks to the project, and create a project specific risk management plan that identifies potential risks and mitigates them.
Develop Communication Plan During the Kick-Off meeting, the ISD PMO project manager will work with your team to develop a communication plan identifying who should be contacted on the team, how they should be contacted, and when they should be contacted.
Change Management Plan ISD PMO will document, review and approve Stakeholders changes anytime there is a required change to the baseline schedule or plan.
Create and Integrate Project Schedule The ISD PMO project manager will coordinate with project stakeholders
ISD PMO will integrate this schedule with the project schedules of other, non-ISD parties who are also involved with your data center project.
Provide Main Point of Contact ISD PMO will provide a project manager to act as your trusted advisor, who will facilitate communication and be your main point of contact for all phases of the implementation project.
Project Tracking & Management
Activities Description
Execute Implementation Project Plan The ISD PMO project manager will monitor the scheduling and execution of equipment delivery and services, according to the approved project plan
ISD PMO will provide periodic updates to project stakeholders
Manage Issues, Changes, and Risks The ISD PMO project manager will review and manage Stakeholders response to any unanticipated events or requested changes specific to this service
Schedule On-site Resource Management Upon request, the ISD PMO project manager will schedule on-site visits to manage resources and facilitate communication.

Facilitate Team

Meetings and Distribute Minutes

The ISD PMO project manager will host meetings with project team members to review status, and to address issues and changes.
ISD PMO will capture and distribute meeting minutes to the project team.
Report Project Status The ISD PMO project manager will provide project status reports as requested to keep you fully informed on the project progress, issues and changes.
Clarity Licenses
Activities Description
Manager User Account Have full use of all licensed modules other than CA Clarity Studio
Team member User Account Have specified limited use of functionality within licensed modules, e.g., reporting time and project status, using discussions and documents, and viewing data and running reports
Enterprise Visibility Option User Account Can view any information within CA Clarity. They can also submit, track and update ideas, but they may not otherwise input or modify information in Clarity.
Project Close
Activities Description
Review Project Items for Completion The ISD PMO project manager will review project deliverables for completeness and resolve any open items.
Conduct Project Close The ISD PMO project manager will meet with you to review the implementation project results and ensure that your expectations were met.

Deliverables

Service deliverables will include:

  • An ISD PMO approved project manager trained in project management tools and best practices who will ensure the project is prepared for the delivery of the product or systems, and the associated services are scheduled and managed appropriately. 
  • A project plan will be distributed to key stakeholders using Clarity Project Portfolio Manager. 
  • Periodic project status reports using Clarity Project Portfolio Manager 
  • A main point of contact for all communications related to the project. Scope of Responsibility The items stated here are responsibilities of ISD PMO and the customer.

ISD PMO Responsibilities

  • Identify and manage stakeholder and contact information 
  • Interagency Service Agreements (ISA)
  • GITA PIJ Development and Reporting
  • Develop and manage project plan to completion 
  • Confirm and communicate the hardware or software delivery and implementation schedule
  • Notify the appropriate resource(s) of issues that require resolution
  • Manage implementation risk
  • Manage installation and implementation changes
  • Close project

Customer Responsibilities

  • Identify key non-ISD project stakeholders 
  • Provide ISD PMO, upon first site visit, access to floor plan templates 
  • Provide ISD PMO staff access to the appropriate facility
  • Designate an authorized resource to interface with ISD PMO 
  • Provide special clearance or access requirements 
  • Notify ISD PMO of any scheduled changes within 48 hours 
  • Purchase required installation services

Schedule

Actual scheduled dates and times will be discussed and approved between the project, stakeholders, and will be recorded in the project schedule.

Location

This service will be performed both on and off your site as required to meet your project plan.

Completion Criteria

ISD PMO is expected to have finished its written duties when any of the following occurs:

  1. ISD PMO completes all tasks described.
  2. This service and Statement of Work (SOW) are terminated for other reasons, within the ISD Customer Agreement.
